Learner reports
Generate learner transcripts, report on their certification status, view organizational reports and create notification letters.
The Assigned Groups report shows you the current group assignments for the Learners in your organization.
The Certificate Analysis displays selected learners' licenses, license types, certificates, and expiration dates, allowing you to view and manage the professional documents held by the Learners in your organization.
Report Options:
Find items due within: | Enter a value into the text box and select a unit of time from the drop down list to specify the amount of time into the future the report should list upcoming certifications or licenses. |
Find | Select whether you would like the report to return results about certifications, licenses or both certifications and licenses. |
The Curriculum Assessment report allows you to view the progress and success of your Learners in selected Curricula and Courses. The data is organized in table format, making it compact and easy to read.
Report options
Choose a curriculum or course group | Select whether you would like the report to reflect a particular curriculum or Course Group, or whether you would like to pick courses individually, regardless of Course Group (Ad Hoc). |
Hide Report Curricula from list of choices | When Curricula is selected, check this box to hide report curricula (prefix: "RPT") from the list of curricula choices displayed in the list box. |
[Select courses] (List Box, when Curriculum or Course Group is selected) | Select the curriculum or Course Group from the top list box. A list of courses to be included in the report will generate in the bottom list box, under Courses to be considered in report. |
Ad Hoc selection | Use the filters to narrow the selection. Check the box(es) next to the course(s) in the generated list that you would like to include in the report. Click Add To List to include the course or courses in the report. |
Date Range to consider for transcripts | Use the calendar tools to select the transcript dates you would like reflected in the report, or select a present date range from the drop down menu. Select All Dates from the drop down menu to run a report reflecting all dates. |
Show only people who... |
If you would like the report to show data based on learners progress in the curriculum selected, check the box next to Show only those who have. From the drop down list, select whether the report should include people who have Not Completed Any, Completed At Least One, Not Completed All, or Completed All of the courses. Note: A selection of Not Completed All will also return results for Learners who have not completed any. If you would like the report to include specific groups of people, check the box next to Show only those assigned to curricula through groups. |
Order shown on list |
Select whether you would like the data in the report to be listed according to Organization and Department (Org-Dept), or in order of Learner Names, regardless of Organization and Department. Select the check box next to Page break when Org-Dept change if that organizational structure is desirable. This option is only available when the Org-Dept order is selected. Tip: No organization/ department affiliations or statistics will be shown in the report by selecting Name as the primary order for the report. |
Row contents |
Select whether the report should list each learners' statistics (Learners), or whether the rows in the report should include only learner counts in each department who fulfill the criteria (Rollup by Department). Tip: No Names or individual learner statistics will be included in the report by selecting Rollup by Department. |
Column contents |
Select whether the report should include detailed course statistics (Detail Courses) or whether the information for each course should be summarized (Summarize Courses). If Detail Courses is selected, check the boxes next to Show Grade or Show Enrolled to include that information in the report. |
The Enrollments and Completions report allows you to view selected course enrollments and completions for the Learners in your organization.
Report options
Course Selection |
To select courses to be reflected in the report, choose one of the course groupings from the options to the left of the list box. Based on your selection, a list of courses will populate in the list box to the right.
Select from the list box to be used for the report. Select multiple courses by holding the Ctrl key on your computer's keyboard while clicking the course titles. For an Ad Hocreport: Choose this option to run a report reflecting a selection of courses not contained with a traditional course grouping. The Available Courses section will appear below. Select Courses for the Ad Hoc report from this section by checking the box next to the desired course names in the selection grid and clicking Add To List. The courses you have selected for the report will be listed in the lower grid. |
[Date Range] | Specify the Date Range to be reflected in the report using the calendar tools () or select a preset option from the first drop down menu. Select All Dates to run a report reflecting all available course dates. |
Include all selected learners | Choose this option to select have all selected Learners appear in the report, regardless of whether they have Enrollments or Completions. This option is disabled when other Learner specification options are selected (Show only those assigned to curricula through groups, or Show only those who have...) |
Show only those assigned to curricula through groups | Select this check box to run a report showing only those learners that have been assigned the selected courses through their membership in groups, such as Organizations, People Groups or Job Titles. This option is only available when courses are selected according to curriculum. |
Show only those who have | Select this check box and then choose an option from the drop down menu, to specify whether the report should show only learners who have completed all, not completed all, completed at least one, or not completed any of the courses to which they were assigned. |
Include | Select an option from the drop down menu to include either, all enrollments, or all completions or combine all enrollments and completions into one single report. |
Output Options: |
Layout: Choose a Grid/Table or List for the overall structure and organization of the report. If the list structure is selected, choose the grouping (Organization, Department, Person) that the system should use to determine page breaks in the report. Note: Grid/Table Reports can only be exported to Excel. Level: Choose whether you would like the report to feature a roll up (Summary) of learner statistics by Organization/Department or a breakdown (Detail) of statistics by learner. Select whether you would like to include Summaries and Grades in the report. |
Create and print correspondence for courses and classes.
Report options
Choose a Letter | Choose a letter template from the drop down list. |
Choose a Course | Choose the course that the letter concerns from the drop down list. |
Choose a Class | Choose the class that the letter concerns from the drop down list. |
Learner Status | Choose a learner status that includes the learners to whom the letter is addressed (e.g., learner, instructor, inactive). |
Registration Status | Choose a learner registration status (enrolled, completed, dropped, etc.) from the drop-down list. |
Locate | Select a data field to search on in the first drop down list, a constraint in the second drop down list, and then type a value in the text box. |
Find | Click Find to refresh the list of learners available based on your search criteria. |
The Recertification report provides a view of expiration dates for your Learner's course requirements and license or certificate expirations. Also includes the dates cycle based course and certificate requirements were last fulfilled.
Use the first portion of the selection form to specify a Completion Date Range within which the courses to report on should be completed. Use the calendar tools to select dates for the range.
The transcript report set up screen allows you to find and select specific learners in order to view, export and print a formatted document detailing the learners educational history.
